Administrative / Project Manager
Berlin Academy of American Music (BAAM)

Part-Time / Freelance Position
Approx. 14–16 hours per week, with additional hours during project and event production periods
Compensation: €26–32 per hour (depending on experience)
Additional Compensation: In addition to the hourly rate, a separate production fee will be provided for 3–4 major concert, workshop, or tour projects per year (1.5-2K EUR per project).
Work Structure: Hybrid (approximately 50% office / 50% home office). The position also requires travel during tours, as well as occasional representation of BAAM at conferences, professional events, and with presenters.

The Berlin Academy of American Music (BAAM) is seeking its next Administrative / Project Manager.
Founded at the height of the pandemic by American conductor Garrett Keast, BAAM has quickly built an international reputation as a dynamic, world-class project orchestra devoted to genuine connection, innovative programming, and collaborative excellence. Based in Berlin with an expanding international presence, BAAM presents intimate concerts, workshops, short tours, and high-profile orchestral events.

Key Responsibilities

Serve as a proactive collaborator, working closely with the Artistic/Executive Director on all projects and administrative matters within a tight-knit team

Lead grant research, writing, submissions, and reporting requirements

Manage core administrative operations, including scheduling, correspondence, documentation, reporting, expense tracking, and file organization

Support donor tracking, communications, and fundraising administration

Provide administrative coordination for Friends of BAAM board meetings (scheduling, minutes, handling budgets, communications, attending online meetings)

Coordinate and manage concerts, rehearsals, and events on-site
